Privacy notice
This notice explains what happens to the information you give us through the forms on this website.
Who we are
The Welsh AI Collective (Cydweithfa AI Cymru) is responsible for the information you give us through this website. Under data protection law, we are the controller of that information.
You can contact us through the form on the Contact us page. You do not need to join the Collective to do so.
What we collect
When you fill in the join form, we collect your name, your business name, the council area where your business is based, the size of your business, your email address, your preferred language, the help you would like, and your agreement to this notice.
When you send a message through the contact form, we collect your name, your email address, the topic of your message and the message itself. We collect nothing else through this website.
The website does not use cookies, analytics or any other kind of tracking. It does not store anything on your device, and it does not load anything from other websites.
Why we collect it
We use the information to add you to the Collective, to contact you about its work, and to understand what help Welsh small businesses want, by area and size of business.
Our lawful basis is your consent, which you give by ticking the box on the form. You can withdraw that consent at any time.
We use what you send through the contact form only to reply to your message and, if you ask us to, to act on your data protection rights. Our lawful basis for this is our legitimate interest in replying to people who contact us and, for a rights request, our legal obligation.
Who can see it
Only the people who run the Collective can see your information. We do not sell it or share it with anyone else, and we do not use it for advertising.
Netlify, our processor
Our website is hosted by Netlify, Inc., which stores form submissions for us as our processor. Netlify acts only on our instructions. Netlify’s servers are in the United States, so your information is transferred outside the UK. Netlify’s data processing agreement includes the safeguards that UK data protection law requires for such transfers.
Netlify’s servers also record technical information, such as IP addresses, to keep the website secure and working. We do not use this information to identify you. You can read Netlify’s privacy notice at netlify.com/privacy.
Booking a call
The Book a call button takes you to Calendly, an appointment booking service on another website. If you book a call, Calendly collects the details you give it, such as your name and email address, and shares them with Felix Clarke so that he can arrange the call. Calendly’s privacy notice is at calendly.com/privacy.
How long we keep it
We keep your information while you are part of the Collective. If you ask us to delete it, we will do so within one month. We review our records every year and delete the details of anyone who has not been in touch with us for two years.
We keep messages sent through the contact form for as long as we need them to deal with your message, and for no more than a year after we reply.
Your rights
You have the right to see the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to have a copy to give to someone else, and to withdraw your consent.
To use any of these rights, or to ask a question about this notice, send us a message through the form on the Contact us page. You do not need to join the Collective.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes
If we change this notice, we will update this page and the date below.
